Recruiting admin absorbs time that could go to candidates. GoodTime’s 2024 US survey of 525 talent, HR and recruiting leaders found that talent teams spent 35% of their time scheduling interviews.[1] Totaljobs’ 2025 UK research puts manual recruiting admin at 17.7 hours per vacancy.[2]
At Fledge, we estimate that routine admin now takes around 5% of our working time with Instinct. This is a first-hand estimate, rather than a time-tracked result.
Here is how Fledge uses an AI assistant to prepare the work around recruitment and keep more attention on candidates.
AI support around the recruiter
We use Instinct to bring candidate replies, follow-up preparation and routine coordination into a WhatsApp conversation. A voice note can set the next action.
We give the direction. Instinct brings forward the context and drafts a response. We check the recipient and wording, then say “Go” to approve the send.
The assistant supports the preparation. We own the relationship and the decision.
The opening illustration shows this workflow with adapted dialogue: a voice note, a proposed message and an explicit approval.
From reply to next step
Instinct helps us review candidate replies alongside the profile and earlier discussion, then prepare a relevant next response.
An answer can reveal a question to explore. A compensation expectation can need clarification. A pending CV can call for a specific follow-up.
We assess experience, expectations and fit. Instinct supports that work by gathering context and preparing the next action.
Uncertainty stays visible. For example, a salary figure that could mean base pay or total compensation needs clarification before anyone treats it as a confirmed expectation.
A Demand Generation search in practice
During a Demand Generation search for a cybersecurity scale-up, a candidate replied to our outreach.
Instinct brought the reply and profile into WhatsApp. We used a voice note to ask for a draft clarifying enterprise B2B and cybersecurity experience before arranging a call.
After reviewing and approving the wording, we continued the conversation around the job description, CV and screening questions on paid campaigns, account-based marketing and technical buyers.
We assessed the answers and decided whether to move forward.
The client remains anonymous. The illustrations use a fictional candidate name and adapted dialogue to explain the workflow without exposing candidate details.

Follow-ups with context
Instinct helps prepare short follow-ups tied to the last exchange. We can review what is missing without reopening every thread to reconstruct the conversation.
That might mean requesting a CV, clarifying relevant experience or proposing a call.
At Fledge, a candidate’s silence does not trigger an automatic send. We review the proposed message before approving it.

Support across the search
The same approach can support other parts of a search:
Candidate follow-up tracking. Keep the last exchange and outstanding questions together, then prepare a relevant follow-up for review.
Call preparation. Bring the candidate’s profile, LinkedIn link and questions to explore into a short screening brief.
Reply monitoring. Surface a new response in an agreed inbox or thread and prepare the next step.
Weekly search review. Bring open searches, pending decisions and next actions into one view.
Multi-candidate coordination. Keep each person’s stage, documents and next action separate while preparing call options and messages for approval.

From WhatsApp to the web
Instinct is also available on the web, while WhatsApp remains our everyday conversation channel. The illustration below shows a search review, rather than the live app interface.

What hiring managers gain
For hiring managers, the value is more attention on the brief, the evidence behind a candidate’s experience and the trade-offs in a hiring decision.
Our experience does not establish a change in placement rate or time-to-hire. Those outcomes need separate measurement.
We trust Instinct with preparation around the search. We stay accountable for candidate assessment and communication.
